Job Summary
The executive assistant with work with the CEO and executive team to manage schedules, plan events and meetings, interact directly with key clients and customers, and act as the office manager. The right person must have experience in running and managing an office, assisting senior level executives, and be able to effectively interact with clients.
Job Responsibilities
- Smart and Fast Learning: Individual must be incredibly smart and ready to learn quicker than anyone you know. You’re job will be to help the CEO in all tasks including: strategy, client management, sales management, office management, emails, phone calls, calendar, scheduling, and everything else that needs to be done. You will be the “right-hand” of the CEO. You will be involved in major components of the business.
- Motivated and Positive Attitude: Be excited about helping grow an organization. You must be positive. You must be a go-getter. You must be fun to work with. You must be willing to do anything it takes to make sure the job gets done. You must be fun, open, honest while you work.
- Organized: Excellent organization, task management, timeliness, file management. Personal and professional organization skills are a must. Your job is to keep the office of the CEO organized.
- Communication: Excellent verbal skills, grammar, and use of the English Language
- Writing: Excellent spelling, grammar, writing, proofing, and note taking skills
- Email: Review, respond to, direct, manage, organize, create emails. You must be an expert at email communication. You will be responsible for all incoming and outgoing email messages from the CEO. You will tell the CEO which emails he should respond to directly.
- Phone: Manage all phone calls, messages, call-backs. Must be excellent at phone communication. Will manage the phone of the CEO and will protect the CEOs time and screen all calls. The goal will be for you to answer and respond to all calls possible.
- Scheduling and Calendar: Setting appointments, organizing meetings, organizing calendar, work with clients to create appointment times. You must be an expert at calendar organization. You will work will all areas of the organization, including clients, to get time on the CEOs calendar. You will protect the CEOs time and screen unneccesary meetings.
- Reservations: You will book reservations for all air travel, hotels, rental cars, dinners, etc required for the CEO.
- Internet: Google, Gmail, Salesforce.com, Facebook, LinkedIn, Twitter, Gowalla, Foursquare. We are a digital agency. It is very important you are an expert at using the web for research, writing, and even fun. Almost all tasks will include using the internet. Your job will be to keep the internet profiles of the CEO organized, as well as use the Internet for whatever task required.
- Computer Skills: Microsoft Word, Microsft Excel, Microsoft Powerpoint, Microsoft Outlook, Adobe PDF Reader, Fire Fox, Internet Explorer, Gmail, etc. You must be an expert at creating, editing, and delivering formal documents, contracts, proposals, presentations, forecasts, projections, reports.
- Proposals, Contracts, Presentations, Documents: Responsible for creating, editing and delivering formal documents to the CEO for delivery to all areas of the organization including clients. Being creative and able to professionally create these documents is a must.
- Honor and Integrity: The right individual is honest and must carry on their work with the utmost regard for the betterment of the organization.
